Vendor Management: The Operational Lever Most SMBs Ignore
Most small businesses have a complicated relationship with their vendors. They rely on them heavily, negotiate with them rarely, and manage them almost not at all. The result is a patchwork of supplier relationships that are more expensive, less reliable, and more stressful than they need to be.
Vendor management doesn't require a procurement department. It requires a few consistent practices applied deliberately. Start with a vendor inventory. Know who you're buying from, what you're paying, what the contract terms are, and when those contracts renew. Most SMBs can't answer all four of those questions for their top ten suppliers. That's the first problem to solve.
Review your vendor relationships annually. Not every vendor deserves a renegotiation, but every vendor deserves a review. Are they still the right fit? Is the pricing still competitive? Are there service issues that have been tolerated rather than addressed? An annual review creates a natural moment to have those conversations.
Consolidate where it makes sense. Many SMBs have accumulated vendors over time without ever asking whether fewer, deeper relationships would serve them better. Consolidation can mean better pricing, simpler administration, and stronger relationships with the suppliers who matter most.
Build redundancy for critical suppliers. If one vendor going out of business or having a supply disruption would seriously impact your operations, you need a backup. This doesn't mean dual-sourcing everything — it means knowing who you'd call and having a relationship with them before you need it.
Vendor management is one of those operational levers that most SMBs don't pull until something goes wrong. The businesses that manage it proactively spend less, stress less, and build supplier relationships that actually support their growth.
