Payroll Mistakes SMBs Make (And How to Avoid Them)

Payroll is one of those things that has to be right every time. One missed payment, one miscalculated deduction, one late remittance — and you've damaged trust with your team or attracted the attention of the CRA. For small businesses without a dedicated payroll specialist, the margin for error is uncomfortably thin.

The most common mistake is misclassifying workers. The line between an employee and an independent contractor matters enormously for payroll deductions, CPP contributions, and EI premiums. Getting it wrong — even unintentionally — can result in significant back-payments and penalties. If you're unsure, the CRA's worker classification guidelines are worth reviewing, or consult a professional.

The second most common mistake is inconsistent payroll timing. Employees notice when payday moves. Even a one-day delay can create anxiety, especially for hourly workers managing tight budgets. Set a payroll schedule, document it, and stick to it. If something changes, communicate early.

Overtime miscalculations are another frequent issue. Alberta's Employment Standards Code has specific rules about overtime thresholds, averaging agreements, and banked time. Many SMBs apply informal arrangements that don't align with the legislation, creating liability they're not aware of.

The fix for most payroll problems is the same: a documented process, a reliable system, and a clear owner. Whether you're running payroll in-house or outsourcing it, someone needs to be accountable for accuracy, compliance, and timeliness. That accountability needs to be explicit — not assumed.

Payroll isn't glamorous, but it's foundational. Getting it right consistently is one of the most direct ways to demonstrate to your team that you value them and run a professional operation.
